Project / Operations Manager

Job Summary:
We’re looking for a hands-on Project / Operations Manager to build and run the company’s operating system—turning goals into plans, keeping ClickUp clean and accountable, leading execution cadences, and giving the COO/CEO clear visibility without micromanagement. You’ll orchestrate cross-functional work, surface risks early, and tighten processes so projects ship on time, every time.
Responsibilities:
Project Management & Workflow Execution
Own ClickUp: task structure, deadlines, dependencies, cleanup.
Turn strategic goals into actionable project plans.
Track progress and escalate risks before they become issues.
Remove bottlenecks and maintain cross-team alignment.
Meeting Leadership
Run weekly leadership meetings.
Prepare agenda, notes, KPIs, and follow-ups.
Ensure decisions and action items are captured with clear owners and dates.
Maintain the weekly Scorecard and ensure team accountability.
Cross-Functional Coordination
Act as the communication “control tower” for the company.
Standardize updates and ensure everyone stays aligned.
Reduce ad-hoc interruptions and clarify responsibilities.
Reporting & Visibility
Maintain weekly execution dashboards: Sessions, Conversion, BSR trends, Inventory health, Marketplace launch progress.
Provide a concise weekly summary for the CEO and COO.
Process & SOP Development
Document and organize SOPs across operations.
Improve processes and workflow efficiency.
Support the COO
Remove tactical workload from the COO.
Filter noise; escalate only true priorities.
Create clarity so leadership can focus on strategy and problem-solving.
Requirements:
4+ years in project management or operations with proven cross-functional delivery.
Mastery of ClickUp/Asana/Monday (preferably ClickUp): workflows, automations, dashboards, and reporting.
Strong communication, meeting facilitation, and stakeholder management—able to hold teams accountable with clarity and calm.
Highly structured, detail-oriented, and proactive; excellent prioritization and critical-thinking skills.
Nice to have: experience supporting a COO or operations leader; startup/fast-paced environment background; track record building SOPs and operational frameworks.
