Real Estate Executive Assistant

Job Summary:

We are seeking a highly capable Executive Assistant / Operations & Project Coordinator to support a senior operator within a real estate development and construction environment. This is a high-impact role designed to create executive leverage by strengthening daily execution, improving coordination, and supporting the scaling of development and construction operations.

This is not a traditional administrative position. The role offers hands-on exposure to real estate development, construction workflows, and business operations, acting as a true right hand to leadership. The ideal candidate is proactive, highly organized, and comfortable operating across executive support, project coordination, and operational execution.

Responsibilities:

  • Executive & Operational Support

    • Manage executive calendars, scheduling, priorities, and daily workflows

    • Coordinate meetings, site visits, inspections, and travel logistics

    • Own follow-ups, handoffs, and action items to ensure consistent execution

    • Handle outbound communications with contractors, vendors, consultants, and service providers

    • Maintain visibility across active projects, deadlines, and commitments

    • Reduce operational friction across professional and personal logistics

  • Project & Construction Coordination

    • Support multiple development and construction projects simultaneously

    • Assist with contractor and vendor coordination, scheduling, and documentation

    • Track project timelines, milestones, and progress updates

    • Maintain organized project files, scopes, contracts, and communication records

    • Support permitting processes and preparation of submittal materials

    • Assist with basic design coordination, selections, and documentation as needed

  • Financial & Business Support

    • Support accounts payable and receivable tracking and invoice organization

    • Assist with project-level budget tracking and expense categorization

    • Help maintain accurate operational and financial records

    • Support drafting and organization of contracts, change orders, and invoicing documentation

  • Development & Analytical Support

    • Assist with underwriting and evaluation of new real estate opportunities

    • Support deal pipeline tracking, comps research, and projections

    • Help prepare internal and external summaries, reports, and updates

    • Conduct market and policy research related to development opportunities

Requirements:

  • 3+ years of experience supporting an executive, founder, or operator in a fast-paced environment

  • Strong organizational skills with exceptional attention to detail and follow-through

  • Ability to coordinate across contractors, vendors, and multiple stakeholders

  • Excellent written and verbal communication skills

  • High ownership mindset with the ability to anticipate needs and solve problems proactively

  • Adaptable, resourceful, and able to remain calm under pressure

  • Strong interest in real estate development, construction, or operations preferred

  • Availability to support a remote executive team
