Executive Assistant (Affiliate Partnerships)

Job Summary:

We are seeking an Executive Assistant, Partnerships to support the Head of Partnerships for a fast-paced social commerce and affiliate management platform. This role acts as the operational backbone of a high-output business development and partnerships function, spanning agency deals, event activations, creator economy content, and senior stakeholder management.

The role requires someone highly organized, adaptable, and comfortable switching between contract administration, event logistics, content support, scheduling, and partner communications in the same day.

Responsibilities:

  • Contracts & Agreements

    • Draft, redline, and manage partnership agreements, including API deals, agency contracts, and co-marketing agreements

    • Track deal stages and ensure timely follow-through on open terms and next steps

  • Events & Activations

    • Coordinate logistics for conferences, mixers, sponsorships, and other partnership activations across the US, UK, and EU

    • Build run-of-show documents, speaker bios, panel study guides, and attendee materials

    • Manage booth logistics and on-site vendor coordination

  • Content & Communications

    • Draft LinkedIn posts, webinar promotional copy, and outreach messages

    • Research market intel and package findings into shareable decks or reports

    • Prepare panelist prep materials and speaker briefings

  • Calendar & Scheduling

    • Own calendar management across US, UK, and EU time zones

    • Coordinate meeting prep, agendas, and follow-up summaries

    • Manage CRM meeting links and partner booking flows

  • Reporting & Operations

    • Pull weekly activity reports from email, calendar, and CRM systems

    • Track commission reconciliation, payouts, and partner KPIs

    • Maintain CRM hygiene and pipeline documentation

  • Stakeholder Support

    • Manage inbound partner inquiries and warm outreach sequences

    • Liaise with internal teams and external partners

    • Prepare briefing documents ahead of key calls and meetings

Requirements:

  • 2–4 years of experience in an Executive Assistant, Partnerships Coordinator, or Business Development Operations role, ideally in a startup or creator economy environment

  • Strong written communication skills with the ability to draft LinkedIn posts, contract summaries, and webinar promotional copy with minimal editing

  • Highly organized with a proactive follow-up mindset

  • Comfortable using HubSpot or similar CRM platforms and Google Workspace

  • Experience supporting event logistics from pre-event preparation to on-the-ground execution

  • Able to work across multiple time zones and manage competing deadlines independently

  • Genuine interest in social commerce, creator economy, or TikTok Shop

  • TikTok Shop or affiliate marketing background is a plus

  • Experience with agency or platform partnership deals is a plus

  • Copywriting or content creation skills are a plus

  • Familiarity with AI tools, automation workflows, UK/EU markets, or webinar/panel coordination is a plus
