Legal Intake Specialist

Job Summary:

We are seeking a proactive Legal Intake Specialist to manage inbound inquiries and convert potential clients into signed cases. This role serves as the first point of contact for prospective clients and plays a critical role in capturing case information, qualifying leads, and ensuring a smooth intake experience.

The ideal candidate is highly organized, communicates with empathy and professionalism, and can efficiently guide prospective clients through the intake process while supporting attorneys with accurate case information.

Responsibilities:

  • Answer inbound calls, website inquiries, and chat messages from prospective clients

  • Screen potential clients and gather key case details during the intake process

  • Conduct conflict checks and document all relevant client information 

  • Schedule consultations between prospective clients and attorneys

  • Send retainer agreements, intake forms, and onboarding documents 

  • Follow up with warm leads who have not yet signed to encourage case conversion

  • Maintain organized intake records and update client information in the firm’s system

  • Ensure all inquiries are handled promptly and professionally to maximize conversion opportunities

Requirements:

  • Prior experience in legal intake, customer service, or client support roles

  • Strong verbal and written communication skills with a professional and empathetic tone

  • Bilingual proficiency in English and Spanish 

  • Ability to ask structured questions and gather accurate case information

  • Strong organizational and documentation skills

  • Ability to manage multiple inquiries while maintaining attention to detail

  • Comfortable handling sensitive client information with confidentiality

  • Reliable internet connection and ability to work in a remote environment

  • Experience working with law firms, particularly in high-volume intake environments preferred

  • Familiarity with legal case management or CRM systems preferred

  • Experience handling inbound phone-based client inquiries
