Bilingual Procurement & Supply Chain Administrator

Job Summary:

We are seeking a detail-oriented Procurement & Supply Chain Administrator to coordinate international material sourcing and domestic supply chain operations for a building materials company. This role will manage procurement, logistics, cost tracking, and vendor coordination across an overseas sourcing network, including suppliers and factories in China, Vietnam, and Morocco.

The ideal candidate has experience in international sourcing or supply chain operations, strong organizational skills, and the ability to manage multiple vendors, shipments, and project requirements simultaneously. Professional fluency in spoken and written Mandarin Chinese is required to communicate directly with Chinese vendors and factories.

Responsibilities:

  • Procurement & Vendor Coordination

    • Coordinate procurement orders with overseas vendors and factories in China, Vietnam, and Morocco

    • Communicate directly with Chinese-speaking vendors and factories in Mandarin to place orders, confirm specifications, and resolve issues

    • Assist with quote preparation, vendor comparisons, and negotiation support to secure competitive pricing

    • Maintain strong relationships with existing vendors and assist with evaluating potential new sourcing partners

  • Logistics & Shipment Tracking

    • Track international shipments and logistics timelines from factory through final delivery

    • Coordinate customs clearance and freight logistics with shipping partners

    • Maintain accurate shipment records and delivery schedules

    • Proactively identify potential delays or supply chain risks and communicate updates to internal stakeholders

  • Job Costing & Financial Tracking

    • Track material costs, freight charges, duties, margins, and other procurement-related expenses by project

    • Maintain accurate procurement budgets and identify cost overruns or variances

    • Prepare cost summaries and reports for internal review

  • Documentation & Quality Control

    • Maintain organized procurement records, vendor documentation, purchase information, and order histories

    • Support quality control processes for incoming materials, including inspection scheduling and issue resolution

    • Ensure required import/export and shipping documentation is complete and accurate

  • Cross-Functional Coordination

    • Coordinate with architects, designers, and contractors regarding material specifications, availability, and lead times

    • Serve as a key point of contact between overseas vendors and internal teams

    • Ensure procurement and delivery timelines remain aligned with project schedules

Requirements:

  • Professional fluency in Mandarin Chinese, both spoken and written, with the ability to conduct business communications with vendors and factories

  • Experience in procurement, supply chain management, international sourcing, logistics, or a related role

  • Experience coordinating with overseas suppliers, manufacturers, or factories

  • Strong administrative and organizational skills with the ability to manage multiple vendors, orders, and shipments simultaneously

  • Experience with job costing, budget tracking, or procurement cost management

  • Strong understanding of international shipping and logistics processes

  • Strong attention to detail and follow-through across multi-step procurement and logistics processes

  • Excellent written and verbal communication skills

  • Proficiency with spreadsheets and procurement, logistics, or tracking tools

  • Experience in architecture, construction, building materials, or a related industry is preferred
