WMS Coordinator (ShipHero)

Job Summary:

We are seeking an experienced WMS Coordinator (ShipHero) to remotely monitor and support day-to-day warehouse management system operations for a high-volume e-commerce business. This role will serve as the operational eyes on ShipHero, ensuring orders remain fulfillable, correctly allocated, properly statused, and moving through the warehouse without unnecessary delays.

The ideal candidate has strong hands-on ShipHero experience and takes a proactive approach to fulfillment operations. You should be comfortable investigating stuck or aging orders, troubleshooting allocation and workflow issues, identifying root causes, and coordinating with an on-site U.S. warehouse team when physical intervention is required.

This is a mid-level role requiring someone who can independently monitor fulfillment activity, identify operational risks before they become customer-facing problems, and continuously improve WMS processes.

Responsibilities:

  • ShipHero & WMS Operations

    • Monitor ShipHero throughout the day for order statuses, queue health, allocation, batching, automation, and workflow issues

    • Ensure orders remain fulfillable and are correctly statused and allocated to the appropriate fulfillment teams

    • Monitor aging and open orders to ensure urgent or delayed orders are appropriately prioritized

    • Investigate stuck, unallocated, blocked, or incorrectly routed orders and determine the underlying cause

    • Modify automation rules and reprocess orders when appropriate

    • Monitor for missing shipping methods, allocation failures, inventory issues, and other conditions that could delay fulfillment

    • Identify recurring system issues and implement or recommend solutions to prevent repeat occurrences

  • Fulfillment Monitoring & Troubleshooting

    • Track daily order volume against fulfillment output and proactively flag pacing or backlog risks

    • Monitor fulfillment workflows to identify issues before they result in shipping delays or customer complaints

    • Troubleshoot routine WMS and order fulfillment issues independently before escalating

    • Coordinate with the on-site warehouse team when inventory needs to be moved into pickable locations or other floor-level action is required

    • Escalate issues requiring physical warehouse intervention to the appropriate team member quickly

    • Support peak-season and high-volume operations to help maintain fulfillment performance

  • Reporting & Process Improvement

    • Generate and analyze ShipHero reports covering aging orders, blocked orders, fulfillment status, shipping activity, and related operational metrics

    • Use operational data to identify trends, risks, bottlenecks, and opportunities for improvement

    • Maintain clear written communication with warehouse and remote stakeholders regarding operational issues and priorities

    • Recommend improvements to WMS processes, automation rules, and fulfillment workflows based on recurring patterns

    • Support process improvements that increase warehouse efficiency and reduce fulfillment exceptions

Requirements:

  • Hands-on experience using ShipHero in a day-to-day operational capacity is required

  • Strong experience managing or monitoring ShipHero order statuses, queues, batches, allocation, automation rules, order reprocessing, and fulfillment workflows

  • Proven experience troubleshooting stuck or unfulfillable orders and identifying root causes rather than simply escalating issues

  • Strong understanding of WMS, warehouse, and e-commerce fulfillment processes

  • Experience monitoring order aging, fulfillment pacing, and operational backlogs

  • Experience generating and interpreting ShipHero reports

  • Strong analytical and problem-solving skills with the ability to proactively identify operational risks

  • Strong ownership mentality and ability to troubleshoot routine issues independently

  • Excellent written English and ability to communicate clearly with a remote U.S.-based team

  • Availability to work hours that sufficiently overlap with the U.S. West Coast warehouse schedule

  • Flexibility to provide weekend support during peak periods when required

  • Experience with Shopify, TikTok Shop, Faire, or similar e-commerce channels is preferred

  • Experience working with or alongside a 3PL is preferred

  • Experience supporting high-volume e-commerce fulfillment operations is preferred

  • Experience with inventory allocation and warehouse replenishment workflows is preferred

  • Experience supporting peak seasons, high-volume launches, or similar periods of increased order volume is preferred
