Workflow & Automations Specialist (Filevine)

Job Summary:
We are seeking a highly skilled Filevine Specialist (Workflow & Automation) to design, build, and optimize workflows within Filevine. This is a technical, systems-focused role responsible for improving operational efficiency by reducing manual work, standardizing processes, and enhancing visibility across case management.
The ideal candidate has deep hands-on experience customizing Filevine and understands how to translate legal workflows into scalable systems. This role works closely with legal and operations teams to ensure the platform supports efficient case handling from intake through resolution.
Responsibilities:
Customize Filevine projects, layouts, fields, and dashboards to align with case workflows
Build and maintain automation using Taskflows, Vinescript, and triggers to streamline operations
Develop reports, dashboards, and scorecards to improve visibility for attorneys and staff
Automate document generation for legal materials such as demand letters, pleadings, and client communications
Integrate Filevine with external systems (e.g., CRM tools, email platforms, SMS tools)
Identify inefficiencies in current workflows and implement scalable system improvements
Provide training and ongoing support to ensure proper system adoption across the team
Maintain system documentation and ensure consistency in structure and usage
Requirements:
2+ years of hands-on experience customizing and managing Filevine (required)
Strong expertise in Vinescript, Taskflows, DocGen, and workflow automation
Experience integrating Filevine with external tools and systems
Background in law firm operations; personal injury experience is a strong plus
Strong analytical and problem-solving skills with the ability to simplify complex processes
Excellent written and verbal English communication skills
Ability to work independently and manage system improvements end-to-end
